Aegis AI Systems builds back-office automation for regulated firms. Its adviser tools capture a client meeting end to end and file the records to the firm’s back-office system before the adviser is back in the office.

Ask any financial adviser what they would change about the job and the answer is the paperwork that follows every meeting: the fact find typed up from notes, the risk questionnaire re-keyed into the back-office system, the signed agreement scanned and filed, the compliance file note written that evening from memory.

Aegis AI Systems, a Rochester company, has built a system that does that work during the meeting rather than after it.

Captured once, filed once

The company’s adviser app runs on a phone or tablet the adviser takes into the meeting. The client completes their attitude-to-risk and capacity-for-loss questionnaire on the device and signs it on screen. The fact find, covering income, expenditure, assets, liabilities, protection, tax and objectives, is pre-filled from what the firm already holds, so the meeting confirms and updates rather than starting from a blank form. Documents such as the client agreement can be read and signed in the same sitting.

When the adviser hands the device back, the records are already on their way: the signed documents to the client’s own secure app, the evidence to the firm’s back-office system, and a compliance file note, with follow-up reminders in the adviser’s diary, generated from what actually happened in the room.

“The industry has spent twenty years digitising the paperwork without removing it,” said Daniel Dabin, the company’s founder. “An adviser still goes home and types. We wanted the typing streamlined, easy to use, and add client engagement to the process, as you will capture with the client in front of you and confirmed by them there and then.”

Built inside a regulated firm

Designed and developed inside a Kent-based, FCA-regulated advice practice, where it is used daily, and it files into some of the most established, most widely used back-office platforms among UK advisers. Every record it produces is designed around what a compliance reviewer expects to find: a signed, hash-verified copy of what the client saw, an audit trail of who signed what and when, and a file note that separates what the client said from the adviser’s own observations.

Client data is encrypted at rest on UK-hosted servers, and nothing is sent to a client without the adviser’s own sign-off. Mr Dabin states, “Every screen waits for the server to confirm the record exists before it tells you so. If the signal drops in a client’s meeting, the app keeps everything on the device and sends it when the connection comes back.”

Who it is for

The company is targeting independent financial advisers, mortgage brokers, accountants and other regulated firms in Kent and the South East that run lean back offices and cannot justify enterprise software. Firms of any size can be accommodated. Aegis, which is also developing safe image-generation tools and a robotics prototype, is self-funded and based at Rochester.
